Information for Parents

Safety and Risk Management
At all times, the safety of CTY Civic Leadership Institute participants is paramount. We take every reasonable step to ensure the safety of our students on campus and in the field, including:

Hiring skilled staff members. Our staff is a talented group of individuals brought together by their commitment to teaching highly able young people about civic engagement and social responsibility. Our recruiting process attracts outstanding instructors from public and private schools and universities, graduate students, and other education and youth development professionals. Our teaching assistants (TAs) and resident assistants (RAs) are typically older undergraduate students or recent college graduates. They are selected through a competitive process that weighs such factors as academic background, community service experience, and experience working with youth in a residential setting.

Working with established and well-respected host agencies on field experiences. We ask each host agency to work with us to provide safe volunteer and learning environments. We also ask each agency to provide an orientation for our groups, educating the students about potential risks that may exist in their communities and precautions they can take to minimize this risk to the greatest extent possible.

Making certain that participants are appropriately supervised. While students are ultimately responsible for their own conduct, our administrative, instructional, and residential staff all work together to provide clear guidelines and reasonable supervision. Each group of approximately 15 students is supervised during class time by an instructor and TA, and by the RA staff during evening and weekend hours. Students are unsupervised only when they sign out for brief excursions off campus. In those cases, they must be with a student buddy, and there are expectations about how far afield they can go. Our administrative staff are also on site for extra support and supervision.

Medical Care
Accepted students are required to submit a set of medical forms, some of which require a physician's signature. If your child will take medication during the program, there are forms you and your physician must complete and sign. During the program, CTY administrative staff are responsible for distributing medications, providing first aid, and accompanying students who become ill or injured to walk-in clinics or emergency rooms for treatment. All costs associated with medical care are the responsibility of the student's family.

Our administrative staff dispense medications as authorized by parents' and physicians' signatures on the medical forms. Students are not permitted to keep medications of any kind in their possession (exceptions are made for single doses of urgent need medications such as insulin, inhalers, and EpiPens). For the safety of all students, keeping medications in rooms or belongings is grounds for dismissal. Students on medications should continue to take their medications as prescribed by their physicians.

Students with Learning, Physical, or Medical Disabilities
Open communication between CTY and parents is essential to meeting students' needs. If your child needs accommodations for a learning, physical, medical, dietary, or mental health issue, you must contact summer programs staff at 410-735-6215 or ctydisabilities@jhu.edu. You must contact us every year, even if your child was evaluated by or received accommodations from CTY in the past. For accommodations to be provided, current documentation from a qualified individual knowledgeable about the student's disability must be submitted to our office by May 15. Documentation must include the diagnosis of the disability, specific functional limitations for both the academic and residential settings, and recommended accommodations.

Research
To fulfill our commitment to Johns Hopkins University, we often ask parents and students to join us in important research efforts. Anyone who is asked to participate in research can request a description of the study. When the study is completed, we can provide a summary of the results and reprints of published articles.
